Terms of Service

These Terms explain the rules for accessing and using Aegis, a Discord-authenticated internal affairs and operations platform operated from Brisbane, Queensland, Australia.
1. Introduction
These Terms of Service govern access to and use of Aegis, a Discord-authenticated internal affairs, investigations, evidence management, oversight, auditing, and staff operations platform operated from Brisbane, Queensland, Australia.
By accessing Aegis, signing in with Discord, linking a Roblox account, managing a server, creating records, or using any Aegis feature, you agree to these Terms. If you do not agree to these Terms, you must not access or use Aegis.
Aegis supports communities, moderation teams, departments, roleplay agencies, organisations, and administrative groups with structured operational workflows. Aegis does not provide legal advice, determine guilt, make moderation decisions, guarantee evidence validity, issue disciplinary outcomes, or verify record accuracy.
2. Definitions
"Aegis" means the Aegis platform, website, application, systems, interfaces, databases, APIs, integrations, and related services.
"User" means any person who accesses Aegis, including staff members, moderators, investigators, administrators, server owners, department members, and support personnel.
"Organisation" means any community, department, agency, moderation team, roleplay group, server, administrative group, or other entity using Aegis.
"Records" means all information entered, uploaded, referenced, generated, processed, reviewed, exported, or stored through Aegis, including cases, evidence references, allegations, reports, disciplinary history, member information, audit entries, investigation notes, staff notes, attachments, and administrative reviews.
"Third-party services" means platforms and providers used with or connected to Aegis, including Discord, Roblox, hosting providers, payment processors, infrastructure vendors, and logging or security services.
3. Service overview
Aegis provides tools for Discord authentication, server access control, case management, internal investigations, evidence references, staff records, audit history, oversight workflows, department management, administrative reviews, Roblox account linking, Roblox inventory verification features, role and permission systems, activity logs, technical monitoring, and future subscriptions or premium plans.
Aegis is a recordkeeping and workflow platform. Aegis provides structure, access controls, logging, and operational tooling, but the meaning, accuracy, fairness, legality, completeness, and consequences of records remain the responsibility of the organisations and users that create and manage those records.
Aegis does not independently investigate users, validate allegations, authenticate evidence, determine whether conduct occurred, decide penalties, or enforce an organisation's rules outside the functionality made available through the platform.
4. Eligibility and minimum age
Aegis is intended for authorised operational users, including server owners, administrators, staff members, investigators, moderators, department members, and other users granted access by an organisation.
You must be at least 13 years old to use Aegis. If the laws of your location, your organisation's rules, Discord's rules, Roblox's rules, or another applicable platform policy require a higher minimum age, that higher minimum age applies.
If you access Aegis on behalf of an organisation, you represent that you have authority to use Aegis for that organisation and to bind that organisation to these Terms for its use of the platform.
Aegis can restrict access where a user appears ineligible, unauthorised, underage, suspended, compromised, or otherwise unsuitable for continued access.
5. User responsibilities
You are responsible for using Aegis lawfully, accurately, and only for authorised operational purposes. You must maintain the confidentiality of records and access only the servers, departments, cases, evidence references, user profiles, audit entries, and settings you are authorised to access.
You are responsible for all actions taken through your authenticated account. You must keep your Discord account secure, protect any connected accounts, use strong device security, and immediately report suspected unauthorised access.
You must ensure that all records you create or manage in Aegis are handled according to your organisation's rules, applicable laws, platform rules, privacy obligations, evidence handling standards, and internal policies.
Users and organisations remain responsible for all records entered into Aegis, including cases, evidence references, allegations, reports, disciplinary history, member information, audit entries, and investigation notes.
6. Account authentication
Aegis uses Discord authentication to identify users and manage access. You must sign in using a Discord account that you control and are authorised to use for Aegis-related activity.
Aegis uses authentication data to associate actions, records, settings, audit entries, access decisions, and administrative activity with the authenticated user. You must not share access, allow another person to act through your account, impersonate another user, or attempt to bypass authentication controls.
Aegis can require re-authentication, revoke sessions, invalidate access tokens, require updated permissions, or restrict account activity when needed for security, access control, abuse prevention, or operational integrity.
7. Discord authentication handling
Discord authentication is used to confirm user identity, retrieve basic account details, apply server access rules, associate a user with guilds and permissions, and record operational activity inside Aegis.
Discord account information can include Discord ID, username, display name, avatar, authentication identifiers, login timestamps, and related session information. Aegis uses this information to operate authentication, access control, audit logging, support, security, and account integrity features.
Discord remains a separate third-party service. Your use of Discord is governed by Discord's own terms, policies, account controls, and availability. Aegis is not responsible for Discord outages, permission changes, API changes, account restrictions, or data processing performed by Discord.
8. Roblox linking rules
Aegis supports optional Roblox account linking for account association and Roblox inventory verification features. You must only link a Roblox account that you own or are expressly authorised to connect.
Aegis currently uses the Roblox OAuth scopes openid, profile, and user.inventory-item:read. The openid scope supports identity confirmation, the profile scope supports basic profile display and account association, and the user.inventory-item:read scope supports inventory verification features.
You must not link another person's Roblox account, misrepresent ownership of a Roblox account, bypass Roblox permissions, automate unauthorised requests, or use linked Roblox data for harassment, profiling, punishment, or purposes outside approved Aegis workflows.
You can unlink a Roblox account through Aegis where the unlink feature is available. Unlinking removes the current account association inside Aegis but does not delete the Roblox account, modify Roblox data, or remove records already retained for security, audit, operational, or legal purposes.
9. Acceptable use policy
You may use Aegis only for legitimate internal affairs, investigations, evidence management, oversight, auditing, staff operations, department management, administrative review, access control, Roblox verification, and related organisational purposes.
You must maintain appropriate confidentiality for records, limit access to authorised personnel, use permissions responsibly, and treat case information, staff records, evidence references, and audit history as sensitive operational information.
You must follow all applicable laws, Discord rules, Roblox rules, payment provider rules, organisation policies, community standards, and access restrictions when using Aegis.
10. Prohibited conduct
You must not use Aegis to harass, threaten, defame, stalk, dox, intimidate, discriminate against, exploit, or unlawfully monitor any person.
You must not enter knowingly false records, fabricate evidence references, alter records to mislead others, misuse audit history, suppress relevant context, impersonate staff, or create unauthorised disciplinary history.
You must not attempt to gain unauthorised access, bypass permissions, scrape the service, interfere with APIs, overload systems, reverse engineer protected components, introduce malware, exploit vulnerabilities, or test security controls without written authorisation.
You must not use Aegis to violate Discord or Roblox policies, evade platform enforcement, process data without authority, sell access to records, expose confidential data, or support unlawful activity.
11. Evidence handling
Aegis enables users to manage evidence references and related investigation notes. Aegis does not guarantee that any evidence reference is authentic, complete, admissible, reliable, current, unaltered, or relevant.
Users and organisations are responsible for deciding what evidence can be entered, who can view it, how it is labelled, how long it is retained, how it is interpreted, and whether it complies with applicable rules or laws.
Users must avoid uploading, referencing, or distributing illegal content, private information without authority, intimate material, exploitative content, malware, credentials, or content that violates Discord, Roblox, organisational, or legal requirements.
12. Record ownership and organisational responsibility
As between Aegis and the organisation using Aegis, organisational records remain the responsibility of the organisation or authorised users that create, upload, import, manage, or control them.
Aegis does not claim ownership over organisational records solely because they are stored or processed through the platform. You grant Aegis the rights needed to host, process, display, secure, transmit, back up, and operate records for the purpose of providing the service.
Organisations are responsible for configuring departments, assigning roles, approving staff access, reviewing case quality, correcting inaccurate records, responding to internal requests, and ensuring that records are used fairly and lawfully.
13. Staff and administrator obligations
Staff and administrators must use elevated access only for authorised duties. Elevated access must not be used for curiosity, personal disputes, retaliation, unrelated monitoring, or disclosure of confidential information.
Administrators are responsible for role assignments, permission levels, department access, server configuration, user removal, subscription decisions, and internal policy compliance.
Staff members must protect sensitive information, avoid conflicts of interest, preserve relevant records when required, correct errors when authorised, and escalate suspected misuse, security incidents, or unauthorised access.
14. Audit logging and activity history
Aegis records audit logs and activity history to support accountability, security, investigations, oversight, access review, and operational integrity.
Audit logs can include authentication events, access changes, case activity, record edits, permission updates, department actions, administrative reviews, Roblox linking events, server configuration changes, and technical events.
Users must not tamper with, conceal, misuse, export without authority, or misrepresent audit logs. Audit history is an operational control and does not independently prove misconduct, guilt, intent, or record accuracy.
15. Technical monitoring
Aegis monitors technical activity to operate the service, secure accounts, prevent abuse, investigate errors, improve reliability, measure performance, and protect users and organisations.
Technical monitoring can include logs, request metadata, IP addresses, browser information, device information, operating system information, session events, performance metrics, errors, security telemetry, and feature interactions.
You must not interfere with monitoring, logging, security controls, rate limits, integrity checks, or abuse-prevention systems.
16. APIs and integrations
Aegis can provide or use APIs, webhooks, bots, OAuth flows, platform integrations, and other technical interfaces. Access to integrations can be restricted, changed, suspended, or revoked to protect the service.
You must use APIs and integrations only as authorised, within documented limits, and for legitimate Aegis workflows. You must not extract data at scale, bypass permission checks, reuse integration credentials, or connect unapproved systems to sensitive records.
Aegis can update, limit, deprecate, or discontinue APIs and integrations when needed for security, platform policy compliance, reliability, product changes, or third-party service changes.
17. Third-party services
Aegis relies on third-party services including Discord, Roblox, hosting providers, database providers, logging services, security providers, analytics services, and future payment processors.
Third-party services operate under their own terms, privacy policies, technical limits, outages, rate limits, security controls, and API requirements. Aegis is not responsible for third-party service decisions, downtime, account restrictions, data practices, API changes, or platform enforcement.
Your use of connected third-party services must comply with the rules and permissions of those services.
18. Service modifications
Aegis can add, remove, redesign, restrict, suspend, rename, replace, or discontinue features, plans, workflows, integrations, access rules, pricing, storage limits, technical requirements, or security controls.
Aegis can modify the service to improve reliability, respond to legal or platform requirements, reduce abuse, support new workflows, resolve incidents, or adapt to operational needs.
Where practical, Aegis will provide notice of material changes that significantly affect active users or organisations.
19. Availability
Aegis is provided on an as available basis. Aegis does not guarantee uninterrupted access, error-free operation, permanent availability, specific uptime, immediate support responses, or continuous compatibility with Discord, Roblox, browsers, devices, or third-party services.
Access can be interrupted by maintenance, deployment, security incidents, infrastructure failures, third-party outages, rate limits, network issues, abuse prevention, account restrictions, or events outside Aegis control.
Organisations are responsible for maintaining their own continuity plans, exports, escalation processes, and internal procedures for critical records and operations.
20. Subscriptions, billing, and premium plans
Aegis can offer subscriptions, premium plans, server-level purchases, paid features, usage-based limits, trials, discounts, or other billing models. Pricing, plan limits, included features, currencies, billing periods, and renewal terms are shown at purchase or in the applicable plan materials.
If you purchase a paid plan, you authorise Aegis or its payment processor to charge the applicable fees, taxes, renewal amounts, and other charges described during checkout or in the active billing settings.
Failure to pay applicable fees can result in plan downgrade, feature restriction, suspension, data export limitations, or termination of paid access. Organisations remain responsible for managing billing users, payment methods, cancellation requests, and plan changes.
21. Refunds
Payments are non-refundable except where required by law or expressly stated in the purchase terms for a specific plan, promotion, or transaction.
Aegis can provide refunds, credits, extensions, or billing adjustments at its discretion, but doing so in one case does not create a right to the same outcome in another case.
Third-party payment processors can apply their own processing rules, fees, chargeback procedures, dispute processes, settlement timing, and refund limitations.
22. Intellectual property
Aegis and its software, interface, branding, designs, workflows, documentation, code, logos, text, visual systems, and service structure are owned by Aegis or its licensors and are protected by intellectual property laws.
These Terms grant you a limited, revocable, non-exclusive, non-transferable right to access and use Aegis for authorised purposes. These Terms do not transfer ownership of Aegis intellectual property to you or your organisation.
You must not copy, modify, resell, sublicense, reproduce, distribute, frame, mirror, reverse engineer, or create competing services from Aegis except as permitted by law or written authorisation.
23. Data exports
Aegis can provide export features for certain records, settings, logs, or account information where supported by the product and permitted by permissions.
Exported data remains subject to these Terms, applicable privacy obligations, organisational rules, confidentiality requirements, and platform policies. You are responsible for protecting exported data and limiting access to authorised recipients.
Aegis can restrict exports to prevent abuse, protect security, preserve privacy, comply with legal requirements, enforce permissions, or respond to a dispute.
24. Suspension
Aegis can suspend or restrict a user, server, organisation, department, feature, integration, session, or plan where Aegis believes there is a Terms violation, security risk, payment issue, unauthorised access, platform abuse, legal concern, data risk, or operational threat.
Suspension can include disabling access, limiting exports, revoking sessions, disabling integrations, restricting administrative actions, preserving records, or requiring verification before access is restored.
Aegis can notify affected users or organisations where practical, but immediate action can be taken without prior notice to protect the service, users, records, or third parties.
25. Termination
You can stop using Aegis at any time. Organisations can remove Aegis from a server or discontinue use according to available product controls and active billing obligations.
Aegis can terminate access where continued use violates these Terms, creates risk, remains unpaid, breaches platform policies, exposes confidential data, or harms Aegis, users, organisations, or third parties.
Termination does not remove obligations that logically continue after access ends, including confidentiality, payment obligations, record responsibility, intellectual property restrictions, limitation of liability, indemnification, and dispute terms.
26. Record retention after termination
After suspension, cancellation, removal, or termination, records can be retained, archived, exported, restricted, deleted, anonymised, or preserved according to product functionality, organisational configuration, operational needs, billing status, legal obligations, security requirements, and backup systems.
Aegis can retain audit logs, security logs, payment records, support history, abuse-prevention records, and technical records after account or organisation termination where needed for legitimate operational, legal, compliance, accounting, or security purposes.
Organisations are responsible for exporting or preserving records they need before cancellation or termination where export features are available.
27. Security incidents
Users and organisations must promptly report suspected account compromise, unauthorised access, exposed records, permission errors, security vulnerabilities, suspicious activity, or misuse of Aegis.
Aegis can investigate security incidents, restrict affected accounts, revoke sessions, rotate credentials, preserve logs, notify affected organisations, contact third-party providers, and take other steps needed to protect the service.
Security concerns should be directed through the official Aegis Discord server listed in Contact and Support.
28. Limitation of liability
To the maximum extent permitted by law, Aegis and its operators are not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, loss of profits, loss of revenue, loss of goodwill, loss of reputation, loss of data, business interruption, moderation outcomes, disciplinary outcomes, or decisions made by organisations using Aegis.
Aegis is not liable for records entered by users or organisations, evidence validity, allegation accuracy, staff decisions, administrative actions, third-party service failures, unauthorised use caused by compromised accounts, or outcomes resulting from organisational policies.
Where liability cannot be excluded under applicable law, Aegis' liability is limited to the maximum extent permitted by law, including resupplying the affected service or the amount paid for the affected service period.
29. Indemnification
You and any organisation you represent agree to indemnify and hold Aegis and its operators harmless from claims, losses, liabilities, damages, costs, and expenses arising from your use of Aegis, records you create or manage, unauthorised access, misuse of data, breach of these Terms, breach of law, infringement of rights, or decisions made using Aegis records.
This indemnity includes claims related to cases, evidence references, allegations, disciplinary history, member information, audit entries, investigation notes, staff actions, Roblox linking, Discord authentication, exports, and organisational decisions.
30. Governing law and Queensland jurisdiction
Aegis is based in Brisbane, Queensland, Australia. These Terms and any agreement formed under them are governed by the laws of Queensland and the laws of Australia that apply in Queensland, without regard to conflict of law principles.
The parties submit to the jurisdiction of the courts and tribunals of Queensland, Australia for disputes arising from or relating to these Terms or Aegis.
Users outside Australia may have mandatory rights under their local laws. Nothing in these Terms excludes, restricts, or modifies any consumer, privacy, statutory, or other legal right that cannot lawfully be excluded, restricted, or modified.
Before commencing formal proceedings, the parties agree to attempt to resolve disputes in good faith by contacting each other and providing a reasonable opportunity to respond, except where urgent relief is required.
31. Changes to these Terms
Aegis can update these Terms to reflect product changes, legal requirements, billing changes, security needs, operational changes, or third-party service requirements.
The effective date identifies the current version. Continued use of Aegis after updated Terms become effective means you accept the updated Terms.
If you do not agree to updated Terms, you must stop using Aegis and, where applicable, cancel any active plan.
